The move to a new office is an exciting time for growth and a positive step for any business looking to personalise their space.

More businesses than ever are considering a move to a more suitable, amenity-rich and well-located space. According to Workthere’s Flexmark 5.0 Survey, the flexible office space market is in strong growth, with 85 per cent of operators surveyed expected to expand into the sector in 2026.

So how can you ease the transition into a new office space, and what steps can you take to make the process more seamless? Let’s take a closer look.

1. Plan ahead

    Planning ahead is key. Taking the time to research new office spaces means that when the day itself comes, you can be confident your team will settle in quickly.

    This starts with the location and office building itself. What would work best for your team? Is a location close to public transport a top priority, or do you need a car park with affordable rates?

    And what about the amenities? Modern office spaces have a lot to offer, and it’s important to decide what would benefit your team most. Perhaps breakout spaces for meetings or focused work are vital for you, or maybe opportunities for downtime in dedicated quiet zones are a perk your team would enjoy.

    Taking the time to research the space thoroughly will always pay off in the long run.

    2. Consider a serviced office space

      Serviced office spaces are more popular than ever. According to market intelligence agency Mintel, the UK supply of serviced offices has shown steady growth over the last few years in line with growing demand, and the number of serviced offices is forecast to reach over 5,000 by 2026.

      It’s no surprise that this is a popular option. Serviced office spaces remove a lot of the stresses that can make a transition into a new space challenging. Furniture is provided, Wi-Fi is taken care of, and additional amenities are catered for.

      A smooth transition is always easier when you can be confident, you’re in capable hands, and serviced offices are a great option for busy professionals with little time to dedicate to additional admin.

      3. Lean on your team

        Moving is easier when the load is spread. The responsibility of transitioning into a new office space shouldn’t be left to one person – teamwork makes life easier for everyone.

        Allocate roles and responsibilities to different members of the team, and make sure everyone plays their part. Moving into a new office is about more than packing up boxes – it’s about acclimatising to a new culture and space, helping the team feel at home, and creating an environment that reflects your company values.

          We spend a lot of our time at work, so it’s important that the setting not only helps boost productivity but supports our wellbeing too.

In fact, research by Cornell University found that employees working in environments with ample natural light reported higher levels of productivity and overall wellbeing. Workers near windows experienced an 84% reduction in eye strain, headaches, and blurred vision symptoms.

          Light and space set the ambiance – do you want your team to feel frazzled before the work has even begun, or calm, motivated and ready to tackle the day? Make sure your new office space is somewhere your team want to be, and the transition will be much smoother.

          5. Explore your new area

            With a new office comes a new location, and a great opportunity to explore what the area has to offer.

            For many employers, office location is now a driving force behind the decision where to move, and some of the best offices are located centrally. This means a whole range of restaurants, cafes, shops and attractions are often nearby – so make the most of it and start exploring.
